Certificate Management & Tracking

Coordinate with Flag State, RO, and Class for issuing or renewing the certificates
Survey & Audit Scheduling
Arrange Class surveys (Annual, Intermediate, Renewal)
Schedule Flag State inspections
Coordinate ISM/ISPS/MLC audits
Maintain audit calendars and ensure timely attendance
Follow-up on conditions of class, recommendations, and observations
Recordkeeping & Filing
Keep electronic or hard-copy files of all certificates, reports, checklists, and manuals
Maintain logs of:
PSC inspections
Pre Vetting inspections (SIRE, RightShip)
Class/Flag audits
Implement a document control system for:
SMS manuals
Training records
Safety drills
Risk assessments
Crew documentation
Preparation for Port State Control (PSC) & Flag Inspections
Pre-arrival checklist completion for PSC hotspots.
Provide PSC preparation briefings to onboard crew.
Analyze past PSC findings to eliminate root deficiencies
Coordinate corrective actions and close outs.
Regulatory Updates & Compliance Advisory
Monitor IMO/ILO/Flag State circulars and regulatory changes
Update vessel documentation as per new rules.
Notify shipowner/crew of upcoming changes and compliance timelines.
Assist with document review and implementation guidance.
Manuals and Plans Approval
Develop and maintain:
Safety Management Manual (SMM)
Ship Security Plan (SSP)
Garbage Management Plan
Ballast Water Management Plan
VOC Management Plan (tankers)
Submit to Flag/Class for initial approval and subsequent amendments
Ensure consistency between plans and onboard implementation
